POSITION SUMMARY

The Purchasing Agent supports a variety of operational, purchasing, and administrative functions within the GCS Specialty Products Division. Responsibilities include issuing and processing purchase orders, preparing quotes, managing billing and invoicing, coordinating material procurement, supporting project documentation, and tracking orders to ensure timely delivery. This role works closely with vendors, customers, project managers, and internal teams to support efficient project execution and daily operations.

MAJOR RESPONSIBILITIES
• Negotiate pricing and terms with vendors.
• Issue, process, and reconcile purchase orders.
• Prepare customer quotes and proposals.
• Create sales orders and generate invoices.
• Manage billing activities and related documentation.
• Coordinate material procurement and vendor communications.
• Schedule and track deliveries and installations.
• Assist project managers with submittal packages and bid preparation.
• Prepare project closeout documentation.
• Complete and maintain required IDPH documentation.
• Provide exceptional customer service and support.
• Generate operational and financial reports as needed.
• Assist with month-end closing activities and reporting.
• Monitor order status and ensure timely delivery to job sites.

POSITION REQUIREMENTS
• 4+ years of experience in purchasing, operations, project coordination, accounting support, or a related field is preferred.
• Associates degree (minimum) from an accredited college or university; bachelor's degree preferred.
• Highly motivated, self-directed, and detail oriented.
• Strong organizational skills with the ability to prioritize multiple tasks and manage deadlines in a fast-paced environment.
• Proficient in Microsoft Office applications, including Excel, Word, and Outlook.
• Strong communication and customer service skills.
• Ability to work both independently and collaboratively in a team environment.
• Commitment to supporting organizational goals and objectives.
