POSITION SUMMARY:
The Front Office Coordinator position offers the unique opportunity to be the first point of contact for Power Construction employees, clients, and business partners. We are seeking a candidate who thrives on relationships and interpersonal connection, is passionate about providing first class customer service, and intends to build a long-term administrative career that will allow their communication skills to flourish. Dependability, punctuality, professionalism, and problem-solving skills are expected.
PRIMARY RESPONSIBILITIES:
• Greet office guests with a positive, helpful attitude and notify employee(s) of arrival.
• Answer, screen and professionally direct or reroute incoming calls.
• Organize and tidy reception and common areas (café, coffee areas, supply room, copy rooms, conference rooms, etc.) daily.
• Order groceries for café area and office supplies as needed.
• Manage office conference rooms (room reservation, catering needs, and general maintenance).
• Create and maintain up-to-date resource materials and instructions on all front desk procedures and guidelines.
• Organize and process incoming/outgoing mail, messenger service, and package deliveries. Includes regular use of UPS and Pitney Bowes machines.
• Manage communication with building services and open work tickets as necessary.
• Assist the Office Services Manager and Human Resources department with event planning including holiday parties, company gatherings, trainings, external meetings, etc.
• Utilize Canva and PowerPoint to design and update office communications, celebrate employee milestones and advertise upcoming company events.
• Assist with office projects and perform other administrative duties as requested.
POSITION REQUIREMENTS:
• Must be able to work from 7:30 AM to 4:30 PM, Monday – Friday.
• Outgoing, service-oriented personality and professional appearance.
• Fluency in Spanish preferred.
• Must be courteous and diplomatic in dealing with external contacts. The position has continual contact with Power employees, clients, and business partners.
• Proficiency with Microsoft Office suites and strong typing skills.
• Exceptional written and verbal communication skills, and ability to prioritize assignments.
• Must be attentive to details, organized, reliable, and punctual.
• Creativity and marketing savvy are desirable.
• Ability to lift a minimum of 40lbs.
COMPENSATION DETAILS:
Salary Range: $45,000-$60,000
